What does on-site jersey personalization cost?

The short version: a staffed local station starts around $5,000, staffing is $250 per hour across setup, live time, and teardown, travel is $0 inside Orange County, Los Angeles, and San Diego and $900 outside it, and most corporate programs land at $25–$40 per guest all-in. The long version is worth reading, because those figures move for reasons you can control.

Why the station floor exists

Mobilizing a personalization station is largely a fixed cost. A crew travels, a rig travels, lanes are built, presses are heat-soaked and calibrated, consumables are staged, and at the end of the day all of it is struck down and loaded out. That work happens whether you personalize eighty jerseys or four hundred. The floor around $5,000 is the honest price of putting a real crew and real equipment in a room for a local day — and if your volume is genuinely small, we will usually tell you the economics do not work rather than take the booking.

The five things that move the number

1. Hours on the floor

Billed at $250 per hour and inclusive of setup and teardown, which are real time and not a rounding error. A four-hour window in a hotel ballroom with a loading dock and a four-hour window on a plaza with a long hand-carry are different jobs. When comparing vendors, check whether their hourly rate includes load-in; ours does, and it is quoted as a line you can see.

2. Lane count

Lanes are the throughput dial and the biggest single variable. Each lane is a press, an operator, consumables, and power draw. Two lanes suits a controlled roster day. Four lanes is what an open activation with a real queue needs. Buying one lane too few saves a little on the quote and costs you the guest experience you were paying for.

3. Garment source

If you already own the jerseys — typical for teams, leagues, and uniform programs — the blank cost disappears from the quote. What replaces it is a fabric-test step and a counted-in inventory process, both minor. If we source, you are buying blanks (Augusta Sportswear and Badger are the usual jersey lines), plus a size-curve decision and freight.

4. Art and layout prep

A locked brand kit with usable vector files is quick. A logo lifted from a slide deck, a numeral style that has to be matched by eye, or a multi-team program with different marks per group is real prep time. We quote it as a stated figure rather than folding it invisibly into a total.

5. Travel

Free within Orange County, Los Angeles, and San Diego. $900 outside that footprint, covering the crew and the rig. Nationwide programs get flights, freight, and lodging itemized separately so nothing is buried in a lump sum.

Where the $25–$40 per guest figure comes from

That band is what corporate producers typically end up budgeting once everything is combined: the garment, the decoration, the staffed hours, and the prep, divided by the number of people who walk away with something. It runs to the low end when you supply the jerseys, the run is long enough to amortize the mobilization, and the art is locked early. It runs to the high end when we source premium blanks, the window is short and staffing-heavy, or the program needs multiple layouts.

Two levers that genuinely reduce the number

Run a roster where you can. Pre-staged tickets press faster per unit than tickets typed at a counter, because no press ever waits on a decision. A roster run does more with fewer lanes and fewer billed hours than the same volume delivered walk-up.

Lock the art two weeks out. Late art is the most common reason a prep line grows. One approval round on a settled numeral style keeps that figure small and keeps the intake layout from being rebuilt the week of.

What is never in our quote

Per-color surcharges, rush fees invented after approval, or a minimum that appears at invoice. The scope sheet you approve is the scope sheet you are billed against, with overtime the only exception — and that is agreed on the floor with your producer before we keep going.
